Jobsheets


Jobsheets are documents which record an instance of work done on a vehicle. A jobsheet can be created from scratch or converted from an estimate. In turn, the jobsheet can be converted directly to an invoice.

Viewing a jobsheet

To view a jobsheet, first of all open the jobsheets list by clicking the Jobsheets icon TaskList24 in the toolbar. In the jobsheets list locate the jobsheet you want to view and double-click it to open it.

Creating a new jobsheet

To create a new jobsheet:

1.Click the Jobsheets icon TaskList24 in the toolbar.
2.Click the New icon New24 in the toolbar.
3.If you want to assign the jobsheet to an existing customer, click the button MoreButton24 next to the Customer field.
4.If you want to assign the jobsheet to an existing vehicle, click the MoreButton24 next to the Vehicle field. Note that this also automatically completes the customer information for the jobsheet.
5.If you want to add a new customer or vehicle then click either the 'New Customer' or 'New Vehicle' button and the appropriate screen will open. Please see the help pages for Customers and Vehicles for details on how to add a new customer or vehicle.
6.To save the new jobsheet, click the Save icon Save24 in the toolbar. To discard the jobsheet, click the Cancel icon Cancel24 in the toolbar.

Adding items to the jobsheet

To add items to a jobsheet:

1.In the jobsheet, click the 'Jobsheet Details' tab.
2.Click the Edit icon Edit24 in the toolbar.
3.Enter lines as required. Further details on this can be found in the Adding Items to an invoice, jobsheet etc help topic.
4.Click the Save icon Save24 in the toolbar to save the changes or click the Cancel button to discard them.

Amending a jobsheet

To amend a jobsheet:

1.Click the Jobsheets icon TaskList24 in the toolbar.
2.Locate the jobsheet you want to amend and double-click it.
3.Amend the jobsheet as required.
4.Click the Save icon Save24 in the toolbar to save the amendments or click the Cancel icon Cancel24 to discard the changes.

Deleting a jobsheet

To delete a jobsheet.

1.Click the Jobsheets icon TaskList24 in the toolbar.
2.Locate and highlight the jobsheet you want to delete.
3.Click the Delete icon Delete24 in the toolbar.
4.Click the OK button to confirm the deletion or the Cancel button to retain the jobsheet.

Printing a jobsheet

To print a jobsheet, open the jobsheets list, locate the jobsheet and highlight it. Click the Print icon Printer24 in the toolbar. A print window will open from which you can choose the following options:

Printer.
Number of copies.
Whether or not you want to preview the document on the screen.

There are further options on the print screen which enable you to print multiple jobsheets. Click the 'Date Range' button to enter a date range. All jobsheets created during that range will be printed out.

Converting a jobsheet to an estimate

To convert a jobsheet to an estimate, open the jobsheets list, locate the jobsheet and highlight it. Click the 'Convert to Estimate' icon Jobsheet-to-Estimate24 in the toolbar.

Converting a jobsheet to an invoice

To convert a jobsheet to an invoice, open the jobsheets list, locate the jobsheet and highlight it. Click the 'Convert to Invoice' Jobsheet-To-Invoice24 icon in the toolbar. Once the jobsheet has been converted to an invoice, a copy will be kept which can be viewed by clicking the Old/Converted Jobsheets tab in the estimates list. You cannot edit these jobsheets but you can delete them if desired.

This section describes the various parts of the jobsheet record.

Customer and Vehicle Details tab

Jobsheet date

This is normally set to the date on which the estimate is created. You can change it by clicking on the drop-down calendar and selecting a date.

Jobsheet No.

This is created automatically and uniquely identifies the estimate.

Customer details

Vehicle details

Labour rate

This can be used to override the default labour rate.

Credit terms (in days)

The customer's credit terms.

Actual duration (in hours)

You can use this to record the actual time take for the job, if it differs from the estimated time.

Our Job No.

An assigned job number.

Customer Order No.

The customer's order number for the estimate.

Vehicle Mileage

The current mileage on the vehicle in question.

Service and MOT reminders

These are copied over from the selected vehicles record.

Sales Adviser and Main Mechanic

The names of the relevant staff members associated with the job.

Jobsheet details section

This contains the line-by-line details of the labour and parts associated with the estimate.

Job/Booking Details section

This is a free-text field into which notes can be added.

Stock Items Used tab

This list is automatically completed with the details of any stock parts listed in the jobsheet details section. For each stock part used it displays:

Part
Quantity required
Quantity on stock
Reorder quantity

VAT Analysis tab

This contains a section-by-section VAT analysis.

Surcharge Calc. tab

This section enables you to add a surcharge in percentage terms to the total cost of the jobsheet.

Estimate Totals section

The cost and VAT totals for the jobsheet.

Other Details and Comments tab

This tab contains sections where you can record various details of the vehicle such as MOT, tyre measurements and comments.

Comments section

You can record three types of comment and specify whether or not you want to print the comments on the jobsheet document.
