Navigating the System |
This topic contains general information on how to navigate, search and manipulate tables and lists.
Generally, when you open something within GDS Workshop Manager, you will be presented first of all with a list in the form of a table. From this list you can either add a new entity (e.g. customer, vehicle etc) or find an existing one and open it to view it in greater detail.
Opening an item
To open an item you can either double-click it or single-click to highlight it and click the OK button.
Reordering the table
The table can be ordered on any column in ascending (A to Z) or descending (Z to A) alphabetical order. To do this, highlight the column you want to use by clicking in the column heading. This will highlight both the column heading and the contents. There are two items in the toolbar, Sort Asc(ending)
and Sort Desc(ending)
. Clicking either of these icons will reorder the table.
Filtering the list
Filtering the list is where you enter a full or partial search term and the table will automatically display only those items which match that search term. When you open a list table the filtering is already active and you only need to type a letter or two to filter the list. For example, to search for a customer called 'Smith', open the Customer list and hit the 's' key. The list will immediately filter out all those customers whose names or codes do not contain a word which starts with 's'.

In normal use this simple filtering will be sufficient to reduce the list to a few entries in which the item you are looking for is easily identifiable. If you have a particularly large list you can enter further characters to filter out even more items. For example, instead of entering 's' you could enter 'smi' and only items matching that will be displayed,
When filtered, the table displays a message to that effect.
Searching in a particular column
To search a particular column, enter your search term in the Search field at the bottom of the window. From the drop-down list select the column in which you want to search and click the Find button. The table will then display just those items which match the search term. Note that when you filter in this way, the search searches the whole of the column entry, not just the first characters in a word. Therefore the search results may well be more numerous than that returned by the previous method of filtering.
Keep Open checkbox
When you open a list and then open an item in that list, the list will close and the item detail window will open. If you select the 'Keep Open' checkbox in the list window it will stay open when you open a list item. This is very useful if you are working with a lot of similar list items. To close a window simply click the 'Close Window' icon at the top-right of the window as you would normally.
Adding items to a jobsheet, invoice or estimate
When adding items to an invoice, jobsheet or estimate there are a number of keyboard shortcuts which make the process easier:
To set the line to be Section Heading, press Ctrl + Enter.
To insert a new line above the current line, press Ctrl + Insert.
To delete the current line, press Ctrl + Delete.
To copy from the line above, press F6.
To set the rate to be VAT inclusive, press Ctrl + I (letter 'i').
To add notes or cost prices to a line, press F10.
Column widths can be adjusted by dragging the lines between column headings. Place the mouse cursor on the line between two columns in the heading and it will change to a resize icon
. Click the left mouse button and drag the column to the required width.
