Stock |
To view the stock parts list click the Stock icon
in the toolbar. The stock parts list will be displayed.

To view a stock part record, in the stock parts list, locate and double-click the part. If the part is not immediately visible you can search or filter the list.

You can search for a part using the search filter. At the bottom of the stock part list is a Search field and a Search Column drop-down list. Select the column you want to search from the drop-down list and enter a full or partial search term in the Search field and click the Find button. The stock parts list will be filtered to include only the parts which match the search term.
There is also an Advanced Find function. To open this click the Advanced Find icon
in the toolbar. A window will open which enables you to search on the following fields:

Enter appropriate search terms and click the Find button. The stock parts list will be filtered to display only the parts which match your search terms.
The make, model and engine information can be entered in the stock part Comments and Applications tab.

Adding a new part record to the stock list
To add a new part record:
| 1. | Click the Stock icon |
| 2. | Click the New icon |
| 3. | A blank stock part record will open into which you should enter information for the part. The minimum requirement for the part is a Part Ref. Code. |
| 4. | When you have finished entering the part click the Save icon |
Creating a new part by copying an existing part
You can create a new part by copying an existing part record. To do this, open the stock list and open the part record you want to copy. Then click the Copy this Part icon in the toolbar. Give the new part an existing part code and click the OK button to save it.
To edit a stock part record:
| 1. | Click the Stock icon |
| 2. | Highlight the record you want to amend and click the Edit icon |
| 3. | Make the required changes. |
| 4. | When finished, click the Save icon |
Changing the part reference code
To change the reference code for a part:
| 1. | Click the Stock icon |
| 2. | Highlight the record you want to amend and click the Edit icon |
| 3. | Click the Change Part Ref icon |
| 4. | Enter the new part reference code and click the OK button. To discard the changes click the Cancel icon |
The stock part record
This section explains the various parts of the stock part record.
Stock Item Details tab
Part Ref. Code
This is the unique reference by which the part is identified in the Workshop Manager.
Category
You can assign the part to a Category. For information on how to add a new category please see the help topic Stock Categories.
Item Description
You should enter a short name or part description, e.g. 'Brake Pad' or 'Steering Wheel - Ford Ka'.
Last Sale
This is filled in automatically with the date of the last invoice which contained the part.
Sold (last 12 months)
This is filled in automatically with the number of this item sold in the last twelve months.
Stock Purchases section
Supplier tab
You can select up to two suppliers for a given part and you can swap between them using the appropriate tab. For information on setting up suppliers please see the help topic Suppliers.
Supplier's Part Code
This field can contain the supplier's own part code which may be useful for reordering.
Nett Cost Price
This is the nett cost price of the part
VAT Code
VAT code for the item.
Nominal (code)
Nominal code for the item.
Stock Sales section
Nett Sell Price
The selling price. Normally this price excludes VAT but if the option 'Price is VAT inclusive' is selected then this price includes VAT.
VAT Code
Nominal (code)
Unit of Issue (UOI)
This is the default sell quantity.
Price is VAT inclusive
Selecting this indicates that the Nett Sell Price to be VAT inclusive.
Item Location
Use this field to indicate the part's location in your stock room or warehouse.
Stock Quantity
The current stock level.
Reorder Level
When the Stock Quantity is equal to or less than this number, the part will appear on the Stock Reorder Report.
Omit Stock Part from Stock Reports
Selecting this option removes the part from all stock reports.
Notes
Enter any additional information about the part.
Suitable Part Applications
You can use these fields to record which vehicles and engines with which the part can be used. This can be searched using the Advanced Find function described above.
